Retention for DocuSign Documents

Documents created using DocuSign are official university records and must be managed in accordance with University records and information policy.

DocuSign documents reside securely in the DocuSign instance unless they are deleted or purged from the system.  However, the DocuSign instance should not be regarded as the final repository for the purpose of retaining university records. DocuSign records must be transferred to unit servers, UTBox, or other university repositories to be retained until retention requirements are met and destroyed in accordance with university disposition policy.

Each unit using UT’s DocuSign service is required to designate one or more DocuSign unit contacts (DUCs). DUC training and resource materials include guidance on security, retention, disposition, and other policy requirements for acceptable use of the DocuSign service.
